
1. Application Submission Order
- Applications will be submitted to the Ministry of Health chronologically based on your consultation or follow-up appointment date starting from March 8, 2024.
- This means that the earlier the appointment date (on or after March 8, 2024), the earlier the application will be submitted. This process was established by the BC Ministry of Health and must be followed by all healthcare providers.
- We will be calling patients based on the eligibility criteria and chronologically, starting with those patients who have a consultation date on or after March 8, 2024, to verify that they are still interested in proceeding with the application.
Based on the Ministry of Health guidelines we are unable to expedite your application under any circumstances.
2. Completing Your Consent Forms
- When we have confirmed with you that you want to proceed, you and your partner (if applicable) will receive an email notification from Grace Fertility Centre’s signing platform (EngagedMD), prompting you to sign consents. This consent will contain detailed information on the Ministry of Health Funded IVF Program. Please read and sign the consent as soon as possible as it is required to begin the application process.
- Once we have received your signed consents, we will proceed with the application on your behalf. If there are no errors with the consents, you should expect an application submission confirmation email in the next 3-4 weeks.
3. Application Submission and Confirmation
-Once we have received your signed consent forms, we will proceed with submitting your application on your behalf. If there are no issues with the documents, you can expect to receive a confirmation email within 3–4 weeks.
- After your application has been submitted to the Ministry of Health, you will receive an email confirming the submission.
- This confirmation email will contain the date the application was submitted and instructions on how to upload your Notice of Assessment to the Ministry of Health’s portal and general information about next steps.
IMPORTANT TO NOTE
- You will have 30 days to upload your and your partner’s (if applicable) Notice of Assessments to the Ministry of Health’s portal. This is a secure portal supported by the Ministry of Health.
- If you do not provide your Notice of Assessment to the Ministry of Health Portal within 30 days of the application submission, you will lose your application spot and will need to reapply at the current date.
- Grace Fertility recommends you file income taxes for the previous year and obtain a Notice of Assessment prior to initializing your application process
- Grace Fertility is not responsible for supporting patients in obtaining a copy of their Notice of Assessment.
- Your Notice of Assessment will remain private and secure within the Ministry of Health Portal. Grace Fertility will NOT have access to your Notice of Assessment at any time.
4. Application Review and Decision
- Applications will be reviewed by the Ministry of Health in the order they are received based on appointment dates.
- Once the Ministry of Health has received your Notice of Assessment, they will review your application and advise on a decision whether funding has been approved or declined. Please note funding decisions may take up to 30 days.
Once the Ministry of Health has reached a decision, you will be notified:
- If funding is approved, you will receive an email from Grace Fertility Centre advising of the funding amount you have been approved for. This communication will include information regarding next steps, cycle start timing and how to apply your funds to your treatment.
- If funding is declined, the Ministry of Health will send you a letter (or an email in the event of a Canada Post strike) explaining the reason for their decision.
Please be assured that Grace Fertility has a team an experienced team managing the demand on this new BC Ministry of Health IVF Funding Program and we are actively communicating with patients chronologically for consenting and applications.
